Quick Reference Guide

 

This document serves as a guide on the types of email notifications available in PromisePoint Administration Self Service (PASS).

These emails are all customizable and can dynamically pull in data from PromisePoint based on the parameters for the type of email configured. The emails in this guide are based off the tbgdemo environment and may not reflect any specific environment set up in PASS.

New mapping available for assignment

This notification is sent when a new Job Title/Department/Location combination is processed through the bulk loader.  This notification alerts the PASS Curriculum Administrator to map the new combination to a curriculum, if needed, in the Job Title to Curriculum Mapping page in PASS.

Recipients – PASS Curriculum Administrators

New User PASS ADMIN Account

This notification is sent when a new PASS Administrator is created in PASS, they are instructed on how to access the PASS front-end interface and change their password.

Recipient – The new PASS Administrator

New User PromisePoint Account

This notification is sent when new user profiles are added to PromisePoint through the bulk loader, the learners are notified they can sign into PromisePoint and begin their learning.

Recipients – New PromisePoint Learners

User Bulk File Processed From TBG FTP

This notification is sent when a bulk load has completed and can be reviewed for any errors that may need to be addressed and fixed.

Recipients – PASS Bulk Load Administrators

 

User Bulk File Received from TBG FTP

This notification is sent when a bulk load file has been found in the FTP user bulk load folder by the bulk load program.

Recipients – PASS Bulk Load Administrators

 

Session/Class Canceled

This notification is sent when a session in the session scheduler has been deleted (known as canceled).

Recipients – PromisePoint Learners

 


Session/Class Updated

This notification is sent when any edits are made to a session: event, location, date/time, capacity, status, or when notes, instructors and facilitators are added or updated.

Instructor Assigned to Session/Class

This notification is sent when an instructor has been assigned to a session.

Recipient – Instructor

 

Student Enrolled in Session/Class

This notification is sent when a student is enrolled in a session. There are two ways a student can be enrolled: they can enroll themselves through learning or the instructor can enroll them through the session roster.

Instructor Removed from Session/Class

This notification is sent when an instructor is removed from a session, sent when either deleted from session, or the session is deleted.

Instructor Notification of Session/Class Changes

This notification is sent when any edits are made to a session: event, location, date/time, capacity, status, or when notes are added or updated.

Recipient – Instructor

 

 

New Learning Assignment Added

This notification is sent when a new learning assignment, online or classroom, is required for a learner and happens only when a curriculum is assigned.

Recipients – PromisePoint Learners

Learning Assignment Removed

This notification is sent when a learning assignment, online or classroom, is removed from a learner’s assignments and happens only when a curriculum is removed.

Learning Session/Class Reminder

Send a reminder for each session X amount of hours before the session starts. For example, if 24 hours is keyed in for the reminder, the reminder email will be sent 24 hours before the session. You can also set a second reminder closer to the session start.

Assignment Due Date Reminder

 

This notification is sent when an hour is set to remind a learner of a due date on an assignment.

Recipients – PromisePoint Learners

 

Facilitator Removed from Session/Class

This notification is sent when a facilitator has been removed from a session, sent when either deleted from session, or the session is deleted.

Recipient – Facilitator

 

 

 

Facilitator Notification of Session/Class Changes

This notification is sent when any edits are made to a session: event, location, date/time, capacity, status, or when notes are added or updated.

Recipient – Facilitator

 

Facilitator Assigned to Session/Class

This notification is sent when a facilitator has been assigned to a session.

Recipient – Facilitator

 

 

 

Session/Class Survey Available

This notification is sent when a session has been completed and a survey is available for students to take.
